Official Names
Please be aware that rosters used for mail purposes have official names only. Nicknames and use of middle names etc. can be confusing to mail sorters. If your son/daughter prefers a name other than their official name, they should inform their dormitory mail clerk or the UTM Mail Services located in Clement Hall. If a letter comes in for a Sam Jones in Browning Hall 111, but our records show George Jones in that room, we are not aware "Sam" is either his nickname or middle name or maybe some other student entirely. Therefore, it will take extra time to research and try to determine where the letter is to be delivered or it is returned to sender for insufficient address.
Tracking a Letter or a Package
Only the use of registered, insured, certified/return receipt or delivery confirmation will allow a letter or package to be traced. Letters/packages with postage only cannot be traced.
Mailboxes
Each student is given a mail box in their respective dormitories. Students living in Arnold Pryor Place, Conner Community and University Courts are assigned a mail box in Clement Hall. The mail is picked-up daily and sorted to each dormitory mail box by 2 P.M. All Packages are held at the UTM Mail Services and an email is sent to the student's UTM email account. If after 5 days the package has not been picked-up a second email is sent to the student. After 5 additional days a third and final email is sent informing the student that their package is being returned to sender if it is not picked-up immediately. We do not have the facilities to hold package indefinitely.
Special Handling Services
Please be aware that the UTM Mail Services only works on days the campus is open for official business. We do NOT work on Saturdays, Sundays or holidays. Overnight, Express Mail and the like, will be available for delivery/pick-up the next business day.
End of Semester
Approximately six weeks before your son/daughter leaves at the end of the semester, he/she should notify all magazines, CD clubs, newspapers, etc. of their impending change of address so they may direct their mail to their new address without their missing any issues or important documents. Most companies now have e-mail addresses to which you can submit change of address notices or Internet access for the same purpose. See more information at Change of Address.
